Privacy Policy
StrataBetter™ ("we," "our," or "us") is committed to protecting personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). This policy explains what we collect, why we collect it, how we use it, and the rights you have.
Table of Contents
1. Who we are
StrataBetter™ provides a strata management platform for schemes in Western Australia. We act as an APP entity when we collect personal information about users of the platform (council members, lot owners, and other authorised users).
When a strata company stores owner, contractor, or financial records in the platform, that company remains responsible for its own privacy obligations. We process that information to provide the service they have contracted.
2. Information we collect
Depending on how you use StrataBetter™, we may collect:
- Account details such as name, email address, and authentication identifiers (via our identity provider)
- Scheme details including scheme name, lot count, building type, and bank account details
- Strata records uploaded or generated on the platform, which may include owner contact details, levy information, meeting records, invoices, and work orders
- Payment and billing information processed by our payments provider
- Support correspondence and usage logs needed to operate and secure the service
We do not require sensitive information (as defined in the Privacy Act) to create an account. Please do not upload sensitive information unless it is necessary for a statutory strata function.
3. How we use information
We collect and use personal information for purposes that are reasonably necessary to provide the platform, including to:
- Create and administer user accounts and strata company workspaces
- Provide meeting, levy, compliance, maintenance, and document features
- Process subscriptions and send service-related notices
- Detect, investigate, and prevent security incidents or misuse
- Improve reliability, including diagnosing errors and measuring performance
- Comply with Australian law and respond to lawful requests
AI-assisted features (for example invoice extraction or draft minutes) process content you submit in order to generate a draft. Outputs are suggestions only and must be reviewed by a human before they are relied on.
4. Disclosure and subprocessors
We do not sell personal information. We disclose information only:
- To other authorised users of the same strata company, according to role-based access
- To service providers who process data on our instructions (authentication, hosting, payments, monitoring)
- If required by law, or to protect the rights, safety, or property of users or StrataBetter™
- With your direction, such as exporting records or inviting a new council member
Current categories of subprocessors include identity and authentication, payment processing, application hosting, and error monitoring. A current list of named subprocessors is available on request from the contact address below.
5. Free tier and public data
Schemes that choose the free public-transparency tier agree to publish non-personally identifiable scheme information. Public data is limited to items such as scheme size and type, aggregated financial indicators, maintenance-plan status, and compliance summaries.
We do not publish individual owner names, addresses, contact details, lot ownership records, private minutes, or personal financial information. A strata company can withdraw from the public tier and have public listings removed.
Lot owners who believe personal information has been published in error can request removal by contacting us using the details below. We will investigate and, where required, take the listing down.
6. Storage and security
We take reasonable steps to protect personal information from misuse, interference, loss, and unauthorised access, modification, or disclosure. This includes encryption in transit, access controls, and regular backups.
No method of electronic storage is completely secure. If we become aware of an eligible data breach, we will comply with the Notifiable Data Breaches scheme, including notifying affected individuals and the Office of the Australian Information Commissioner (OAIC) where required.
7. Retention
We retain account and scheme records for as long as the strata company maintains an account, and for a further period where needed to meet legal, accounting, or dispute-resolution obligations (including strata record-keeping duties the company itself must meet). When information is no longer required, we take reasonable steps to destroy or de-identify it.
9. Your rights
Subject to the Privacy Act, you may request to:
- Access the personal information we hold about you
- Correct information that is inaccurate, out of date, incomplete, or misleading
- Ask questions about how your information is handled
- Request deletion of an account you control, noting that some strata records may need to be retained by the scheme
We will respond to access and correction requests within a reasonable time. If we refuse a request, we will explain why and how you can complain.
10. Overseas disclosure
Some subprocessors may store or access information from outside Australia (for example cloud hosting or authentication services). Where we disclose personal information overseas, we take reasonable steps to ensure the recipient handles it consistently with the Australian Privacy Principles.
11. Complaints
If you have a privacy concern, contact us first so we can investigate. If you are not satisfied with our response, you may lodge a complaint with the OAIC at oaic.gov.au.
12. Changes to this policy
We may update this policy from time to time. The "Last updated" date at the top of this page will change when we do. Continued use of the platform after an update constitutes acceptance of the revised policy. Material changes will be highlighted on this page.
